How a shipment gets received
Step 1
The order is already waiting
Upload the PO when you place it, in whatever form the vendor sent: PDF, photo or spreadsheet. It sits on your incoming board with line items, costs and ship dates until the truck arrives.
Step 2
Tick what actually arrived
Open the boxes and check off what came in. Selection is the arrival event. What is short stays open on the same order, so the rest of the shipment has somewhere to land.
Step 3
Publish what arrived
Shipping and fees roll into true cost per unit, and finished products go to Shopify with descriptions, variants and barcodes once someone reviews them.

Questions about receiving in Shopify
Can you receive purchase orders in Shopify?
Shopify tracks stock levels and moves inventory between locations, but it has no record of the order you placed with a vendor months earlier. There is nothing to receive against. Invoe holds the original purchase order, so checking a shipment in is a comparison against what you actually bought rather than a fresh count.
What does receiving against the PO mean?
Your vendor order sits on screen the way the vendor sent it. As boxes open, your team ticks off what came in. Ticking is the arrival: there is no separate button to press afterwards. Anything short stays open on the same purchase order rather than spawning a second one, so a partial shipment never fragments into paperwork.
What happens when a shipment is short or wrong?
Short counts, damages and substitutions are recorded against the line they belong to, with the balance still open for the rest to arrive. Cost changes between what you were quoted and what was invoiced surface at the same moment, which is usually the last point where a credit is still worth chasing.
Can the floor team receive instead of someone at a desk?
Yes. Count at a desk, or push the order to Shopify POS and let the floor team scan boxes where the truck unloads. Either way the count happens once and lands in the same reconciled inventory.
Does receiving update my Shopify inventory?
Publishing carries the counted quantities with it, so the units that arrived are the units that go live. Nothing reaches your store until someone reviews it and pushes the button.
How is landed cost calculated?
Freight, duties and card fees are spread across the units on the shipment, so cost per unit reflects what the product actually cost to put on your shelf rather than the line price on the vendor invoice.
